eWebinar checks registrant email addresses to protect deliverability and keep inbox placement healthy for everyone who uses eWebinar email (including when notifications go out through SendGrid or SMTP).
Attendee notification emails are not sent to addresses eWebinar has marked invalid. For other cases, eWebinar verifies deliverability before sending attendee mail, then remembers the result so it does not re-check every time.
Choose when to verify (per eWebinar)
On the Notifications tab (and also under registration settings), open Email verification. Each eWebinar has two modes:
- During registration (default). eWebinar checks the address while the person registers. If verification fails, they are asked to use a different email address. This adds a few seconds to registration submissions. The address that failed never reaches your CRM or other integrations.
- Only before sending. Anyone can register. If verification fails, notification emails aren’t sent. All addresses still reach your integrations without verification at signup; any that fail are flagged in your registrant list. Use this when you want faster registration and are comfortable cleaning bad addresses from your CRM afterward.
With Only before sending, a bad address can still sync to Zapier, HubSpot, and other integrations at registration time. Confirmation and reminder mail stay protected: eWebinar still checks before sending. Failed addresses are flagged in your registrant list.
How verification works by registration path
- Registration forms and widgets (During registration). eWebinar checks the email during signup. If verification fails, the person is asked to use a different email address before the registration completes.
- Only before sending, API, Zapier, and other auto-registration paths. The person can become a registrant first. Before the first attendee notification is sent, eWebinar attempts to verify the address. The result is saved: valid and unclear addresses can receive mail; invalid addresses are suppressed. Later notifications reuse that saved result instead of verifying again every time.
- Late capture (ungated or chat email capture). When someone only gives an email after joining, eWebinar still applies the same send rules. Until a successful check has cleared them to receive mail, automations and integrations should treat the address as not yet verified for deliverability.
What this means for you: Confirmation, reminder, and follow-up emails only go out when eWebinar believes the mailbox can receive mail—or when the check could not finish. If you auto-register contacts with invalid or unreachable emails, they may appear as registrants in eWebinar but will not receive eWebinar email notifications.
CRM and Zapier when an address fails
Integrations (including Zapier and CRM actions) can listen for Email address not deliverable. That trigger fires the first time eWebinar finds that a registrant’s address does not exist or cannot receive mail. Because the check often happens just before send, it can fire days after they registered. Use it to mark or remove the contact in your CRM. It fires once per registrant, not for every email that is then skipped.
This is especially useful with Only before sending, where the contact may already be in your CRM before the mailbox check runs.
When a check cannot finish
Sometimes the deliverability check cannot complete (for example, a temporary outage on the verification side). In that case eWebinar still sends the notification. Only a definitive “invalid” result blocks mail. That way a registrant does not lose their confirmation or join link because a check timed out.
When the check could not finish, eWebinar may try again on a later notification so a clearer result can be saved once the check is working again.
Why we do this
Sending to bad addresses damages sender reputation and can cause email providers to block notifications for many customers—not just one account. Checking deliverability keeps inbox placement healthier for everyone. Failing open when the check itself is unavailable keeps real registrants from missing join links.
What to check if emails are missing
- Confirm the registrant’s email is a real, deliverable mailbox (no typos, no disposable throwaways you intend to reach).
- Check this eWebinar’s Email verification mode on the Notifications tab.
- For API or Zapier registrations, wait for the first notification attempt to finish its check, then see whether later reminders or follow-ups go out once the address is cleared.
- If you use CRM or Zapier automation, look for an Email address not deliverable event for that contact.
- If you send through SendGrid or SMTP, also confirm domain and sender authentication in that provider—verification and deliverability both matter.
Follow-up email audiences (Send to options)
Follow-up emails live on the Notifications tab of the eWebinar editor, in the Follow-up section. Each one goes to a single audience that you pick in its Send to dropdown, so a no-show never gets a "thanks for attending" message. There are six options:
| Send to | Who receives it |
|---|---|
| To all registrants of an eWebinar session | Everyone registered for a scheduled, just-in-time, or on-demand session, whether or not they attended. |
| To registrants who attended some of the eWebinar | Registrants who joined and watched any part of their session. |
| To registrants who did not attend the eWebinar | Registrants who never joined their session. |
| To all registrants of a replay | Everyone registered for a replay session. |
| To registrants of a replay who watched some of the eWebinar | Replay registrants who started watching. |
| To registrants of a replay who did not watch a session | Replay registrants who never started watching. |
You can add as many follow-up emails as you like, each with its own audience and send time (for example, one hour after the session ends). There is no built-in audience for "converted vs. not converted" or "watched more than X%"; for that kind of logic, act on the data eWebinar sends to your CRM or Zapier.
Set up a follow-up for one audience
- Open the eWebinar editor and go to the Notifications tab.
- In the Follow-up section, add a new follow-up email or duplicate an existing one.
- In the Send to dropdown, pick the audience.
- Write the email for that audience, set when it sends, and save.
Repeat for each audience you want to reach. A registrant only receives the emails whose audience they match.
Skip follow-up emails for attendees who converted
Every follow-up email has a Don't send if attendee has converted toggle. Turn it on for offer reminders you do not want to send to people who already acted; leave it off for thank-you or onboarding emails that should go to everyone.
"Converted" means the attendee triggered the eWebinar's conversion event: a Contact form submission or Next eWebinar registration counts immediately, while Call to action and Special offer conversions count once your conversion tracking code fires on the destination page (not on the click itself). Attendance and watch time do not count as a conversion. See How do I track conversions that result from people attending my eWebinar? for details.
The toggle is per notification, not per eWebinar, so you can skip the "last chance" reminder for customers while still sending them your onboarding email.
| Follow-up email | Toggle |
|---|---|
| "Last chance: the offer expires tonight" reminder | On |
| Welcome or onboarding email for new customers | Off |
| "Missed it? Here's the replay" email to no-shows | Off (the audience already limits it to people who did not attend) |
Registration notifications for your team
eWebinar can email your team every time someone registers, or roll the day's registrations into one message. The setting is per eWebinar, on the Registration tab under Registration notifications.
- Open the eWebinar editor and go to the Registration tab.
- Scroll to Registration notifications and turn on Enable registration notifications.
- Choose For every registration or A daily summary (see below).
- Under Send notifications to these email addresses, enter up to three addresses that should receive the alerts, separated by commas.
For every registration or a daily summary
| Option | When the email is sent | Best for |
|---|---|---|
| For every registration | Immediately, each time someone registers. | Low-volume sales eWebinars where each lead goes straight to a rep. |
| A daily summary | Once a day, listing everyone who registered in the last 24 hours. | Evergreen eWebinars with many registrations a day, where one email per registrant is too noisy. |
These alerts go to your team. They are separate from the emails your registrants receive (set up on the Notifications tab) and from moderator chat notifications (set up on the Chat tab).
