Automatic transcription

eWebinar automatically generates transcripts for all webinar videos to power AI-driven features like notifications and interactions. If transcription gets stuck, it's usually due to incomplete video upload and can be fixed by re-uploading the video file.

eWebinar automatically generates a transcript for every webinar video through its Vimeo-backed pipeline. This transcript is crucial as it assists AI in creating notifications, interactions, and registration pages for your webinar.

How it runs

When you upload a video or set a video URL on a webinar, eWebinar kicks off a transcription job in the background. Progress shows in the editor alongside the video upload status. Most videos are transcribed within a few minutes of upload completing.

Troubleshooting: transcription stuck or not completing

If the transcription status shows Preparing to transcribe... for more than a few minutes, the most likely cause is that the video upload did not complete successfully — leaving nothing for the transcription job to process.

To fix this:

  1. In the webinar editor, go to the video section and click Manage Video.
  2. Click Replace Video and re-upload your video file.
  3. Wait for the upload to fully complete, then check the transcription status again.

If you imported a video from Zoom or Descript, see the note below — an existing text track may be preventing transcription from running.

Viewing the transcript

Attendees can benefit from the transcript as it is used to generate and enhance AI-driven features, improving the overall webinar experience.

Editing the transcript

Auto-generated transcripts might have errors with technical jargon or strong accents. To revise these errors:

  1. Open the webinar editor.
  2. In the video section click Edit transcript (or open Vimeo directly and edit the text track there).
  3. Save. The corrected transcript is utilized immediately to improve AI-driven features.

AI-Driven Enhancements

The transcript is what fuels the AI when it regenerates or creates various elements like interactions, notifications, and registration pages, ensuring they are tailored and relevant to the content of your webinar.

Languages

Auto-transcription detects the language of the video audio. For optimal performance, align the webinar language setting with the spoken language of the video. If you run multilingual webinars (see AI translation workflow), each translated duplicate has its own transcript generated from the new audio.

Videos imported from Zoom or Descript retain their original transcripts if one was included. eWebinar won't overwrite an existing text track. For a new transcript, delete the imported text track in Vimeo first, and eWebinar will regenerate it.
