When a session reaches its registrant limit (set via the per-session cap), eWebinar marks it as full and removes it from the session picker on the registration page. This article explains exactly what that means for the registrant experience.
What registrants see
The session picker on the registration page only shows sessions that still have capacity. Full sessions are not visible: they aren't labeled "Full" with a disabled state; they simply don't appear. This keeps the picker clean and prevents confusion.
If every session on the eWebinar is full, new visitors will see no available sessions and will not be able to register.
No waitlist
eWebinar does not have a built-in waitlist feature. When a session is full, there is no mechanism to queue registrants for the next open spot. To handle overflow, you can:
- Add more scheduled sessions to your eWebinar's schedule.
- Increase the per-session cap.
- Collect overflow registrants manually and re-register them via the auto-registration or Zapier integration.
Existing registrants
The cap only affects new registrations. People who already registered for a full session are not removed: they keep their spot.
How to set or change a session cap
The per-session cap is part of the Advanced access control add-on. It limits how many people can register for any individual session of the eWebinar.
- Open the eWebinar editor and go to the Registration tab.
- In the Access control section, turn on the Advanced Access Control toggle.
- Turn on Limit the number of registrants in a session and enter a number (for example 100).
- Save and publish your changes.
The cap applies equally to every session of that eWebinar. There is no per-session override.
Relationship to your plan's registrant limit
The per-session cap and your subscription's monthly registrant limit are independent, and both apply. A session cap stops new sign-ups for that session even if your plan still has registrants remaining, and your plan limit stops new sign-ups across all of your eWebinars even if individual sessions still have room.
